Our terms and conditions are as set out below
When you hire from Heirloom Vintage Tableware Limited, you agree to the following terms and conditions of hire.
In these terms and conditions:
Good Vintage Condition means, in second hand, clean, undamaged condition, free from chips and cracks.
Heirloom means Heirloom Vintage Tableware Limited.
Hire Date means the date the hire period commences.
Hire Items means the tableware items you hire from Heirloom, including but not limited to fine bone china pieces, crystal, glassware, silverware, table linen, other table accessories and event accessories.
Hire Period means the period from collection by you or delivery of the hire items to you by Heirloom until the return of the hire items to Heirloom.
You means the hirer.
Working Day means any day of the week other than a Saturday, Sunday or a statutory holiday observed in Wellington and other than any day in the period commencing with the 24th day of December in any year and ending with the 5th day of January in the following year.
Hire items
Hireage of particular hire items is subject to availability on the hire date. Unfortunately accidental breakage and/or damage to hire items does occur from time to time. Consequently any hire items specifically requested by you at the point of booking will be available for hire on the hire date unless any of those items are no long fit for hire due to accidental breakage or damage. Heirloom will discuss suitable alternative items with you prior to the hire date.
The hire items will at all times remain the property of Heirloom.
Condition of hire items
Many hire items are fragile due to their age and delicate nature. Because of this it is expected that silverware, and the patterns and gilt on bone china may show some signs of wear. In addition, the vintage linen (which is pre-loved) much of which has been hand worked may show some slight irregularities or signs of use. Taking these things into account the condition of the hire items as at collection or delivery will be in good vintage condition. Unless you notify Heirloom as set out in these terms and conditions, of any discrepancies in the order or damage to the hire items you have received, you are deemed to have accepted the order as being in good vintage condition.
Hire period
The hire period is 48 hours unless otherwise agreed with Heirloom prior to the hire date. All hire items must be returned to Heirloom before the expiry of the hire period. Late returns may incur a late fee of 20% of the total hire charge.
Delivery and collection
Delivery to the hirer’s event venue within a 30 kilometre radius of the Wellington central business district is at no additional charge. Delivery outside the 30 kilometre radius will be charged at the rate of $1.00 per kilometre except where a flat rate is either agreed by prior arrangement with Heirloom or is specified in Heirloom’s price list.
Delivery and collection times must be agreed on confirmation of your booking. You will ensure that the event venue is accessible to Heirloom at the agreed times to allow delivery and collection and that either you or your authorised representative is present to accept receipt of the hire items. Heirloom will use its best endeavours to ensure that there are no delays in delivery or collection of the hire items. However Heirloom will not be responsible if unavoidable delays occur.
You are responsible for checking the hire items on receipt of the order from Heirloom and notifying damage or discrepancies to Heirloom as required by these terms and conditions. All such damage must also be noted on the return packing slip provided and returned with the hire order at the end of the hire period.
The hire items must be repacked for return to Heirloom in the manner in which they were received using the packing materials provided. If, in Heirloom's sole opinion, the repacked items are not packed sufficiently for safe transit then an additional charge of up to 10% of the total hire charge may apply.
Payment terms and deposit.
To secure your booking a non-refundable deposit equivalent to 30% of the total hire charge must be paid on confirmation of your booking by Heirloom.
The final balance must be paid 14 days prior to the hire date and cleared funds received by Heirloom’s bank within 5 working days prior to the hire date. If a booking is made less than 30 days before the hire date then payment of the total hire charge in full will be required on confirmation of the booking by Heirloom.
You agree to pay all additional charges which may apply in relation to the hire within 7 days of Heirloom’s invoice.
Payments are accepted by internet bank transfer to Heirloom’s account (this is preferred), or by payment of cleared funds directly to Heirloom’s account.
Bond and damage to hire items.
A bond of up to 60% of the total hire charge is payable although if the number of hire items is less than 10 or consists of items with a high replacement value, the bond charged may(at Heirloom's discretion) be based on the replacment values of those items. The bond amount will be included in the invoice for the final balance of the hire charge. The bond will be returned to the hirer if all hire items are returned to Heirloom undamaged.
Heirloom will recover from the bond, the value of any breakages, damage or loss sustained to the hire items and any balance remaining will be reimbursed to you within 3 working days of return of the hire items. You agree to pay any additional amount in respect of damaged or lost hire items not covered by the bond. Please see our Tableware Hire Charges List for a guide to replacement values. The replacement values for your hire items will be confirmed by Heirloom prior to finalising your hire. If part of a set is damaged or lost (e.g. a trio or tiered cake plate) then the replacement value for the whole set may apply.
You must report any damage or discrepancy in a hire order to Heirloom as soon as reasonably possible following unpacking of the hire items and also note the damage on the return packing slip to be returned with the hire order to Heirloom. Failure to do so will not entitle you to subsequently dispute the number and/or the condition of any returned hire items as recorded by Heirloom at the time of inspection on expiry of the hire period.
All broken or damaged hire items must be returned to Heirloom on expiry of the hire period. If, in the sole opinion of Heirloom, a hire item is not able to be cleaned sufficiently to allow for continued use then that hire item will be deemed to be damaged and recovery by Heirloom of the replacement value as provided for under these terms and conditions will apply.
Cancellation Policy
Cancellations must be confirmed in writing to Heirloom at its postal address (please note that notification by electronic mail will not constitute written notice for cancellation purposes).
All orders cancelled will incur a cancellation fee as set out below. In the event of cancellation the non-refundable 30% deposit will be applied against the cancellation fee payable.

Your responsibilites during the hire period
- The hire items are at your risk and are your responsibility during the hire period. You may not sublet the hire items to any other person but this will not prevent your employees and contractors from using the hire items in compliance with these terms and condtiions during the hire period.
- Care of the Hire Items. Please handle the hire items with care. Many of the hire items (particularly the bone china) are fragile and can damage more easily than modern day items. Please DO NOT under any circumstances place any of the hire items in the microwave, oven or dishwasher.
- Washing, cleaning. Heirloom will take care of washing and cleaning the hire items on their return, but before returning them, please remove all tea or alcohol dregs and rinse or wipe with a damp cloth to remove food debris. Failure to do so may incur an additional charge of up to 10% of the total hire charge.
- Damage to Property/Person(s). You accept full responsibility for the loss or damage to property and/or injury to any person(s) resulting from the use of the hire items and you protect Heirloom against any claims which may arise from any person(s).
No warranty
Heirloom makes no warranty or representations as to the state, quality or fitness of the hire items for any particular purpose and no such warranty shall be implied by the description of the hire items on the invoice or inventory list. All implied warranties and conditions as to the state, quality or fitness of the hire items for any purpose are excluded.
Acceptance of these terms and conditions
If for any reason you or your authorised representative has not acknowledged these terms and conditions by signing where indicated on the face of the invoice provided, then by accepting the hire items for hire from Heirloom, you are deemed to have accepted these terms and conditions of hire.
